Running sales, delivery and support from the same record

Follow one customer through a business that runs on one system, and how to roll it out without a big-bang switch.

The short answer

Running sales, operations and support from one app means every team works on the same customer record. The lead marketing captured becomes the deal sales closes, the project operations delivers, the invoice finance sends and the case support answers. You get fewer hand-offs and no re-typing, and it rolls out best one team at a time.

The point of one system isn't fewer logins. It's that the hand-offs between teams stop being copy-and-paste jobs.

One customer, start to finish

A web form creates a lead and routing gives it an owner. Sales converts it into a contact, an account and a deal, and the deal turns into a quote. When the quote is accepted it becomes an order and a project with tasks and timesheets. The project becomes an invoice, which syncs to Xero if you use it. Months later the customer emails a question, and a case opens on the same account, so whoever answers can see everything above.

In a stack of tools, each of those steps is an integration or a person re-typing something. In one system it's the same record moving along.

Rolling it out

Start with the shared core: accounts, contacts and deals. Get that data clean before anything else. Then bring in the next team that depends on it, usually support or delivery. Automate the hand-offs only once the manual version works, and leave the internal processes (approvals, trackers, HR) for last, as record types of their own.

Hyegro is designed for that order. See the product or example workspaces.

Questions about this

Which team should move first?

Usually sales, because the customers and deals they create are what everyone else builds on. Support and delivery follow once those records are reliable.

Do all teams need the same permissions?

No. Give each team a role that shows what it needs, while everyone still works on the same records.
